Build from agreements, not card statements
A recurring charge reveals that money moved, but it may not reveal the contractual renewal date, notice period, price adjustment, or cancellation method. Ask the assistant to build the calendar from signed agreements, order forms, vendor portals, and owner-confirmed terms.
For each vendor, capture service owner, business purpose, term, renewal type, notice deadline, current cost, billing frequency, payment owner, data access, and source document. Mark unknown fields instead of guessing.
Create multiple decision dates
The renewal date is often too late for a useful review. Work backward to establish an evidence cutoff, owner review date, negotiation window, approval deadline, and cancellation notice deadline. Put the legally controlling notice date in a prominent field.
Set reminders early enough for the actual decision. A complex platform may need security review and migration planning; a simple monthly tool may need only usage confirmation.
Prepare a bounded renewal packet
The assistant can gather current pricing, usage evidence, support history, overlapping tools, contract changes, and options. The service owner should explain operational value and switching consequences. Finance or legal review may be required according to policy.
Distinguish vendor claims from verified terms. A sales email saying “same plan” does not replace the actual renewal document. Link every material term to its source.
Define decision authority
State who may renew, negotiate, downgrade, cancel, or accept changed terms. Spending thresholds alone may be insufficient when a service stores sensitive data or supports critical operations.
The assistant may coordinate the process without holding signature authority. Make that distinction visible in the calendar so urgency does not create accidental authorization.
Handle automatic renewals safely
Flag auto-renewal, notice method, and proof of cancellation. If notice must be sent through a portal or specified address, preserve confirmation. Do not assume removing a payment card ends the agreement.
When a decision is pending near the deadline, escalate with the consequence and safest available options. A concise message should say what will renew, when notice is due, cost exposure, and who must decide.
Close the record after action
Attach the signed renewal, cancellation confirmation, or changed plan. Update the next review cycle and record any new notice terms. Remove obsolete reminders so they do not create false alarms.
For cancelled tools, start the approved data export, access removal, and credential cleanup process. Contract closure and operational offboarding are related but distinct tasks.
Audit the calendar quarterly
Reconcile active vendors with accounts payable, single sign-on, expense records, and department inventories. Investigate unmatched items rather than silently deleting them.
A well-maintained renewal calendar converts surprise charges into scheduled decisions. The assistant supplies timely evidence and coordination; accountable owners decide whether the organization should continue the commitment.
